An Overview of the New Staff Computing Environment 7/02

All new and upgraded staff PC’s now operate under a management system designed by Information Technology. Please note the following:

·The system is based on Windows XP and 2000. It is Microsoft's up-to-date operating system and offers some particularly attractive management and security features for us, i.e., it facilitates our ability to perform unattended data backup, remotely install software, and fix many desktop problems via network connections.

·Due to enhanced power saving features, the monitors will automatically power down after 20 minutes; the CPU/hard drive after 2 hours. (Clicking the mouse or space bar will restore both)

PCs are to be left on 24 hrs / day - this permits upgrades, repairs and automatic data backup to be conducted overnight. The procedure to be followed nightly is to sign-off the machine by selecting "Shutdown" from the "Start" menu, and then selecting "Restart" from the available list of options.

THIS PROCEDURE INSURES THAT NO OTHER USER CAN ACCESS YOUR DATA.

.

New Log-on information, passwords & security

After pressing CTRL-ALT-DEL, your initial Log-on screen will ask for the following: (all small letters)

User Name - generally your last name or last name, hyphen, first initial

smith, graves-c, hansen or miller-j

Password - managed by you, specific to your desktop computer

Initially set to – today (It is recommended that you change this after your 1st log-on)

Log-on domain - all Windows XP users are using a new network domain

upj-itus (Information Technology User Services)

·The username referenced here is specific to your machine. It is not necessarily the same as your Pitt network account, e-mail name or old machine log-on name.

·The password referenced here is also specific to your machine. It is not necessarily the same as your Pitt network, e-mail or old machine log-on password.

§You can change your machine password at any time by pressing ctrl-alt-del to access the Windows XP security screen.

§If you forget your machine username or password, contact our support desk at x7755.

·You must log-on the new upj-itus networkdomain to access your upgraded machine.

To prevent other users from accessing your machine during the day, log-off properly as described in section one of this handout, or temporarily turn on password protection by pressing ctrl-alt-del to access the Windows XP security screen, and selecting "lock computer".

DO NOT USE THE “LOCK COMPUTER” FEATURE AS AN OVERNIGHT SECURITY MEASURE

Information Technology can only insure virus protection, data backup and recovery of your data if you:

1. Do not turn your computer off overnight

2. Properly log-off you computer every evening be selecting “Shutdown/Restart”

3. Store your data files in the “My Documents” folder

File Management and Backup

1. This new system allows for unattended, automated, remote backup of all data files. This backup is performed nightly. These backup files are on a secured server under IT’s administration.

·All of your files must be saved in the "My Documents" folder on your desktop. We have setup your applications to save there by default. (Within this folder, you have complete control of the folder and directory setup.)

·Files that are stored in other folders on your hard drive will not be backed up.

·Files that are stored on the desktop (the visible icon area of your screen) will not be backed up.

2. No application software is backed up. Should your machine need rebuilt, it will be done with the standard UPJ desktop image that includes the software listed below.

Equipment Upgrades

1. The UPJ staff desktop program provides all full time staff a new PC every four years. (Part time staff and extra office machines are supplied from a pool of recycled lab and faculty PC’s). These PC’s will be compatible with all existing licensed software and network services. Printers and speakers are not supplied by this program and, if required, must be purchased with departmental funds.

2. All computers and shared printers must be individually connected to a properly installed network port. All installation charges and monthly network access fees are the responsibility of the department/division.

3. Personal Computers are supplied to faculty and staff to support the business of the college and should not be used to download and store copyright protected materials. Computers found to contain music and movie file sharing applications such as Grokster, Morpheus, Kazaa, iMesh, Bearshare, Winmx, Gnutella, etc. will have it removed immediately.
