Division Business Meeting Notes

Academic Division Moderator, Ray Anne Lockard, called the annual meeting to order March 9, 1998 at 9:15 a.m.  Update Column Editor and meeting recorder, Liz Ginno (CSU Hayward), was introduced.  InComing Moderator, Lynn Underwood (Guggenheim Museum) could not attend.  New division members stood and introduced themselves.  Ray Anne reviewed the agenda and asked for volunteers to serve as Division officers.  Tom Riedel (University of Wyoming) volunteered for In-Coming Moderator and Liz Ginno volunteered to serve for another year in her present position.  It was suggested that a
call for volunteers for Division offices be put out two months prior to the conference via ARLIS-L next year.  Susan Beelick volunteered to be on the ARLIS Statistics Task Force.

Programs at this conference which were co-sponsored by the Division are listed on the group's web page.  Ray Anne announced that the Gay and Lesbian Interests Round Table is co-sponsoring a program at the next College Art Association conference to be held in Los Angeles
in February 1999.  She encouraged others to co-sponsor programs as well. Members were asked to submit their ideas to Ray Anne for the CAA conference in the year 2000 to be held in New York City.

Ray Anne went through the ARLIS/NA strategic plan and the Division's role. The group determined that we need to do the following:

Create a BI Discussion Group, the museum librarians were interested in a session for teaching docents; Peter Blank (Stanford University) recommended an Ask ARLIS session.  Many voiced their kudos to
B. J. Irvine's (Indiana University) session on BI at this conference and B.J. has offered to send to the recorder her materials to summarize for an upcoming Update column.

Create a roster / clearinghouse of members who teach, we are already linked with LOEX.  Members were urged to send their teaching materials to the LOEX clearinghouse.  Tom Riedel volunteered to send links to ARLIS-L as well as the ARLIS/NA web site.

Create related disciplines link on ARLIS/NA web site.  Members decided this would be a full time job and it was recommended that we use ARLIS-L as a means of communication of good sites.  Robert Belton's web page for Canadian sources was cited as a good example.

Peter Blank and Tom Greives volunteered to put out a call for interdisciplinary programs to ARLIS-L and report back to the Division.

Hugh Wilburn (Harvard University) volunteered to put together a brief bibliography on art and design school publications for the web.

Janine Henri (University of Texas) will be putting out a call for information on accreditation (especially FIBRE's rules) on ARLIS-L as well as working on a session on the topic for the next conference.

Ray Anne will provide an overview of new publications to be posted to the ARLIS web site and Janine Henri will compile a list of those who do new acquisitions lists and post it as well.

Lee Sorenson (Duke University) and ann Whiteside are on the Collection Development Standards Committee and encouraged members to submit copies of their collection development policies to them.

Peter Blank and Jack Robertson (University of Virginia) volunteered to work on creating a list of museum sources not cataloged in OCLC or RLIN.  They will work in stages; first creating a list of core catalogs.  B. J. Irvine will forward her list of core catalogs to them. Then, Peter and Jack will contact those institutions and inquire about the cataloging status of their collections.  They will work in cooperation with the Museum Section.

Kathryn Wayne (UC, Berkeley), our in-coming Board liaison, announced that the budget and special funding requests are due May 31, 1998; there now exists a closed GROUP-L for officers only; members are encouraged to attend the membership meeting; the ARLIS/NA management calendar can now be accessed via the ARLIS web page under "Administrative Documents; "encourage members to contact Kathryn if they have any questions for the Executive Board.

The Vancouver conference will be in March 25-31, 1999.  Ray Anne reminded Division members that conference program proposals are available from kathy Zimon, Cheryl Siegel and on the ARLIS/NA web page.  Program suggestions were:  Repeat B. J. Irvine's Reference Session; a reference session on the arts of the Pacific rim; Ask ARLIS session on "Surviving Adversity:  How to Maintain the Library's Role in an Academic Setting;" Co-sponsor with the Collection Development Division as ARLIS session on
"Approval Plans:  Success and Failure;"  Co-sponsor a session with Indigenous Arts;  A program on basic Canadian art resources -- "Essential Canadian Art bibliography -- Canadian."

The meeting concluded with encouragement to support the Division-sponsored programs and to think about volunteering as an officer next year.

Academic Division Moderator Lorelei Tanji called the annual meeting to order April 6, 1997, at 9:45 am. Co-Moderator, Ray Anne Lockard and Column Editor, Susan Beelick, were introduced. New Division members stood and introduced themselves. Lorelei reviewed the agenda and asked for volunteers to serve as Division officers. Lynn Underwood (new member from Yale Univ.) will serve as Co-Moderator and Liz Ginno (CSU, Hayward) will be Update Column Editor.

Ray Anne led the discussion on program proposals for the 1998 conference. The theme of the conference, "Visions of the City: Philadelphia in Four Centuries" was addressed by conference program co-chair Iris Snyder.

Lynn Underwood suggested a session on oral histories of artists and how to do them. Tom Jacoby suggested co-sponsorship of a session on architectural records because of the resources available in Philadelphia, e.g. architectural archives at the U. of PA and the Athenaeum and access to the Committee on the Preservation of Architectural Records (COPAR) in Connecticut and Massachusetts.

The possibility of co-sponsorship with the Diversity Committee of a pre-conference workshop on cross-cultural communication at service desks and among staff, perhaps with ARL Diversity Officer, Dieta Jones, was suggested. Mimi Hernandez and Janine Henri expressed interest. Another thought arising from the Diversity Committee was the issue of cultural and linguistic biases related to the scope of reference works, catalogs, etc.

Barbara Prior was asked to reintroduce her 1996 suggestion of a workshop on basic reference sources for art. The workshop could be held in a library showing standard sources, B. J. Irvine leading, and could discuss the balance between print and electronic sources. RISS might want to co-sponsor. Peter Blank followed up suggesting an emphasis on text sources.

Mary Graham, ARLIS/NA Vice-President, President-Elect and the Division liaison to the board stopped in and reminded everyone of the May 31 proposal deadline. Special funding requests are also needed then. Any membership handbook changes are due to Headquarters June 10. The database of members at Headquarters may provide special lists if we request. Mary is also liaison to Webmaster Ed Teague.

Proposal discussion continued with a suggestion by Linda Kruger and Jean Hines, Co-Moderators of the Decorative Arts Roundtable, that the Division might want to co-sponsor an Ask Arlis or Session on appraising and appraisals, auction catalogs, reference tools supporting research on the value of a person's objects, how appraisers are vetted, etc. It was also suggested that speakers from the Athenaeum would be good for a session on interior design.

B. J. Irvine believes co-sponsorship of a session on art library facilities for the 21st century -- facilities planning -- would be valuable.

Peter Blank introduced the idea of a session on urban visual culture -- planning, studies, artists, graffitti.Susan Craig expressed an "issue for discussion somewhere". She spoke of the demise of the subject specialists and new hires not having a subject focus. Ann Shankland, Ray Reese and Linda Kruger echoed concerns citing combination of branch units requiring specialists to learn new disciplines and indicating that liaison with subject departments could be helpful. Peter Blank emphasized that such a discussion should concern the strategies for helping to alleviate the problem and how to make cases. Mimi Hernandez suggested data from a questionnaire in this regard. Amy Ciccone asserted that even branch heads positions were being merged.

Discussion on the process of proposing and co-sponsorship of the various very fine proposals ensued.  Lorelei moved the agenda to discussion of Strategic Plan issues (appended to the agenda) affecting the Division. She urged the group to identify a focus for this year. Susan Beelick asked for clarification regarding item 44. Ed Teague explained that this is where ARLIS needs to influence the various accrediting bodies regarding their requirements. It was noted that we are already doing item 38, having created our own web page. Regarding item 43, it was questioned whether the Division needed to appoint an individual to meet the requirement stated there. We were advised to direct our concerns to our liaison, Mary Graham. Amy Ciccone stated that the document is meant to be fluid, things will drop off, things will be added. She indicated her concern that the document must be moderated.

Lorelei queried the group about having a Division listserv. The group favors using ARLIS-L.  Ray Anne is ARLIS/NA liaison to CAA. She solicited proposals due early June. Proposers must be CAA members. Regular sessions are 2.5 hours, special sessions 1.5 hours.

Susan Jurist and Ray Anne Lockard will work with Mary Graham regarding the time-lines discussion on ARLIS-L.

The meeting concluded with encouragement to support our Division-sponsored sessions and to communicate proposal ideas on ARLIS-L.

Susan Beelick, Moderator of the Academic Library Division, opened the meeting with nominations for two incoming positions. Members unanimously agreed upon Rayanne Lockard for Vice-Moderator and Susan Beelick for Update column editor.

COMMUNICATION
Timely communication to Academic Library Division members was problematic this past year, especially in trying to solicit input on the Strategic Plan, but we hope that we can create an email distribution list just for Academic Library Division members in the future. In the meantime, we can send out communications on the ARLIS-L listserv, and we will continue to send out communications in printed format to division members, who do not have email access.

The ARLIS/NA web site has on ongoing list of "News" to all ARLIS/NA members, and it is also a section that lists the guidelines for the Academic Division and officers.

CONFERENCE PROPOSALS
Conference proposals were the next discussion topic. Susan distributed a list of the program proposals that people had sent in via email prior to the conference. Some of the proposals discussed at the meeting were:
Cooperative ventures/collection development consortia
Libraries and distance learning
Pre-conference workshop on basic art library reference sources
Pre-conference workshop on BI presentation techniques
Art librarians as curators
Art histories and the art librarian as historiographer
Art history as area studies and visual culture studies
Keeping academic standards in the digital universe
Why the book is still an important medium in addition to cd-rom, websites, etc.
Joint sponsorship with GLIRT of a panel on access to information on lesbian and gay artists and art history
Hands-on workshop on art resources on the WWW

STRATEGIC PLAN
Roger Lawson, incoming Vice-President of ARLIS/NA, dropped in briefly to say a few words encouraging input on the Strategic Plan Draft and about the ARLIS/NA web site.

Susan Beelick distributed a handout listing the sections of the Strategic Plan dealing with divisions, sections, and round tables--strategic issues #36-50. Issue #37 was deleted since the subcommittee for the "Electronic Clearinghouse for Art & Architecture Reference Guides" has disbanded in favor of mounting this information on the ARLIS/NA homepage. After reviewing the list of strategic issues, we tried to prioritize them:

The Division thought #36 dealing with multi-group involvement among Divisions, Sections, and Round Tables was important.

Marilyn Russell-Bogle (Professional Development Committee) spoke eloquently in behalf of issues #39 and #41, which deal with instructional programs and teaching; people were encouraged to submit instruction materials to LOEX.

Lorelei Tanji and Rayanne Lockard volunteered to develop the Academic Library Division Homepage materials.

The Division agreed to share materials and information relating to issue #43 (works-in-progress, publications and surveys dealing with the management and administration of art and VR collections).
