Division Business Meeting Notes

Academic Division Moderator, Ray Anne Lockard, called the annual meeting to order March 9, 1998 at 9:15 a.m.  Update Column Editor and meeting recorder, Liz Ginno (CSU Hayward), was introduced.  InComing Moderator, Lynn Underwood (Guggenheim Museum) could not attend.  New division members stood and introduced themselves.  Ray Anne reviewed the agenda and asked for volunteers to serve as Division officers.  Tom Riedel (University of Wyoming) volunteered for In-Coming Moderator and Liz Ginno volunteered to serve for another year in her present position.  It was suggested that a
call for volunteers for Division offices be put out two months prior to the conference via ARLIS-L next year.  Susan Beelick volunteered to be on the ARLIS Statistics Task Force.

Programs at this conference which were co-sponsored by the Division are listed on the group's web page.  Ray Anne announced that the Gay and Lesbian Interests Round Table is co-sponsoring a program at the next College Art Association conference to be held in Los Angeles
in February 1999.  She encouraged others to co-sponsor programs as well. Members were asked to submit their ideas to Ray Anne for the CAA conference in the year 2000 to be held in New York City.

Ray Anne went through the ARLIS/NA strategic plan and the Division's role. The group determined that we need to do the following:

Create a BI Discussion Group, the museum librarians were interested in a session for teaching docents; Peter Blank (Stanford University) recommended an Ask ARLIS session.  Many voiced their kudos to
B. J. Irvine's (Indiana University) session on BI at this conference and B.J. has offered to send to the recorder her materials to summarize for an upcoming Update column.

Create a roster / clearinghouse of members who teach, we are already linked with LOEX.  Members were urged to send their teaching materials to the LOEX clearinghouse.  Tom Riedel volunteered to send links to ARLIS-L as well as the ARLIS/NA web site.

Create related disciplines link on ARLIS/NA web site.  Members decided this would be a full time job and it was recommended that we use ARLIS-L as a means of communication of good sites.  Robert Belton's web page for Canadian sources was cited as a good example.

Peter Blank and Tom Greives volunteered to put out a call for interdisciplinary programs to ARLIS-L and report back to the Division.

Hugh Wilburn (Harvard University) volunteered to put together a brief bibliography on art and design school publications for the web.

Janine Henri (University of Texas) will be putting out a call for information on accreditation (especially FIBRE's rules) on ARLIS-L as well as working on a session on the topic for the next conference.

Ray Anne will provide an overview of new publications to be posted to the ARLIS web site and Janine Henri will compile a list of those who do new acquisitions lists and post it as well.

Lee Sorenson (Duke University) and ann Whiteside are on the Collection Development Standards Committee and encouraged members to submit copies of their collection development policies to them.

Peter Blank and Jack Robertson (University of Virginia) volunteered to work on creating a list of museum sources not cataloged in OCLC or RLIN.  They will work in stages; first creating a list of core catalogs.  B. J. Irvine will forward her list of core catalogs to them. Then, Peter and Jack will contact those institutions and inquire about the cataloging status of their collections.  They will work in cooperation with the Museum Section.

Kathryn Wayne (UC, Berkeley), our in-coming Board liaison, announced that the budget and special funding requests are due May 31, 1998; there now exists a closed GROUP-L for officers only; members are encouraged to attend the membership meeting; the ARLIS/NA management calendar can now be accessed via the ARLIS web page under "Administrative Documents; "encourage members to contact Kathryn if they have any questions for the Executive Board.

The Vancouver conference will be in March 25-31, 1999.  Ray Anne reminded Division members that conference program proposals are available from kathy Zimon, Cheryl Siegel and on the ARLIS/NA web page.  Program suggestions were:  Repeat B. J. Irvine's Reference Session; a reference session on the arts of the Pacific rim; Ask ARLIS session on "Surviving Adversity:  How to Maintain the Library's Role in an Academic Setting;" Co-sponsor with the Collection Development Division as ARLIS session on
"Approval Plans:  Success and Failure;"  Co-sponsor a session with Indigenous Arts;  A program on basic Canadian art resources -- "Essential Canadian Art bibliography -- Canadian."

The meeting concluded with encouragement to support the Division-sponsored programs and to think about volunteering as an officer next year.

Academic Division Moderator Lorelei Tanji called the annual meeting to order April 6, 1997, at 9:45 am. Co-Moderator, Ray Anne Lockard and Column Editor, Susan Beelick, were introduced. New Division members stood and introduced themselves. Lorelei reviewed the agenda and asked for volunteers to serve as Division officers. Lynn Underwood (new member from Yale Univ.) will serve as Co-Moderator and Liz Ginno (CSU, Hayward) will be Update Column Editor.
